Our client have been trading for over 60 years, showing continual growth and expansion within a niche market. They are seeking an experienced, professional and knowledgeable Administrator, ideally from a property, building, construction or architectural background. The successful candidate will take on full responsibility for practise wide obligations and will help drive the business forward to achieve further success!
You will provide full admin support to the Business Management Director and Chief Executives Assistant. Duties will be varied and rang from organising meetings, coordinating travel, producing reports, ensuring property schedules are kept up to date and updating policies and procedures. The successful candidate will have the opportunity to develop their own areas of expertise and responsibilities and will play a vital role as the third person in the Business Management Team. Success can be achieved in this challenging role through an understanding of good business practice, responsiveness and flexibility. Applicants will need to be commercially aware with a strong angle on forward planning and the ability to find a solution to every problem.
Compiling, updating and communicating the annual meeting schedule.
Collecting & collating data.
Collecting, collating and evaluating data for the quarterly Strategic & Operational Risk Register.
Collecting and collating annual updates for the Business Continuity Plan and communicating any changes. Assisting in the preparation and organisation of practice meetings such as Board meetings and Partners Forums.
To be an integral part of the Business Management team and providing helpful support and assistance to colleagues where necessary.
Diary & Travel Assistant to CEO
Organising meetings (internal & external) on behalf of the CEO together with the necessary paperwork.
Making appropriate travel arrangements – flights, train, car hire, accommodation.
Maintaining and updating the CEO’s diary.
Organising Partner Appraisal meetings.
Administer CEO’s LinkedIn connections and profile.
Property Schedule – keeping up to date records of property and lease information.
Property invoice approval.
Answering queries and requests from offices relating to properties and associated facilities.
Updating all appropriate policies and procedures on an annual basis, overseen by the F/T Business Management Administrator.
Measuring & Reporting against Health & Safety Targets.
Promoting Health and Safety Awareness; in particular, Site Risk Assessments.
Regularly updating central records with H&S Online training achievements.
Oversee and manage and provide PPE stocks and inventory.
Contribution to and assistance with regular in-house H&S campaigns.
Updating the practice Intranet with departmental data as and when required.
Minimum 5 GCSE’s grade C or above (or equivalent)
Ability to liaise with people at all levels and work to tight deadlines

Professional and personable in your approach to work
Previous administrative experience gained within a corporate environment
Seeking a part time role
Confident user of MS Word and Excel along with Outlook
Mon – Fri, 9 – 5:30
Working around the various regional offices as and when required (travel expense covered)
5 weeks holiday + 8 Bank Holidays pro rata
