Hackney, London Admin and Secretarial Posted 16.05.19 £13.12 - £16.94 per hour

Cordant People are looking for a high quality professional to join the NHS Governance and Assurance Team. The post holder will work closely with the senior leaders managing a suite of Committees across the organisation.

Key duties

To provide effective and efficient secretarial and administrative support to an allocated portfolio of Committees including:

  • Booking and preparing meeting venues;
  • Forward planning;
  • Preparation of agendas;
  • Collation of papers;
  • Quality assurance (of your own and colleague’s meeting packs);
  • Publication of meeting packs in line with the organisations standards;
  • Support of the meeting and Committee Chair;
  • Providing hard copies of meetings packs;
  • Producing high quality minutes;
  • Coordinating follow-up actions and decisions across the organisation.

You will need to be able to work towards planning several meetings each month and working to meeting appropriate deadlines.

Essential Person Specification:

  • Educated to degree level or equivalent work experience
  • Knowledge and experience of business and forward planning
  • Knowledge and experience of Committee procedure in a healthcare or similar regulated environment, including the importance of Terms of Reference
  • Experience of working autonomously to identify and deliver multiple programmes of work simultaneously
  • Good understanding of the importance of recording Conflicts of Interest and how they can be managed and mitigated in an organisation

Desirable Person Specification:

  • Understanding of the current national NHS context, statutory framework
  • Experience of working within the National Health Service (NHS) or similar organisation
  • Understanding of the principles involved in project management
  • Understanding of risk management processes

Skills:

  • Ability to support Committee Chairs, for instance by covering outstanding actions or raising any governance issues that may arise
  • Good project management and planning skills
  • Ability to prepare and distribute agendas, minutes and papers for high level meetings and Committees
  • Ability to prioritise and organise own work load, balancing and managing competing demands and deadlines
  • Excellent attention to detail and diligence
  • Skilled communicator, both verbal and written
  • Good interpersonal skills, with demonstrable ability to build and maintain good working relationships with senior managers, clinicians and other colleagues
  • Ability to work under pressure and meet tight and competing deadlines, both at a high level of effectiveness
  • Ability to identify problems and issues and able to work to address them

Personal Qualities:

  • Self-managing and motivated
  • Good emotional intelligence – empathetic and capable of understanding multiple viewpoints
  • Enjoy working as a member of a team and on their own initiative – seeing what needs to be done and then getting on and doing it
  • Motivated by achievement and outcomes rather than by status
